How do I use digital membership cards for Races and Events?

There are two common ways people can or will use membership cards as follows:


  1. Visually 


This will be very similar for those event organisers who sight and check plastic cards at event sign-on.  Members present the card via their phone instead of plastic, noting the iPhone version has two sides.


The digital membership cards will have the most up to date member information - so that is a real plus.  In particular, it will display the membership as “inactive” if the member has missed any monthly payments or failed to renew their membership.  It will also show the date it became inactive.  In this regard, you may apply the 14 day grace period policy - allowing people to race up to 14 days after their account becomes inactive.


Unfortunately due to current system limitations, we were unable to display the age race category on the card - such as MAS5.  However, the date of birth is displayed and can be used to confirm appropriate category classification.  We do have a potential solution under design to display this information in the future, however, this will not be available in the short term.


  1. QR scanning and/or integration with an Event Entry System.


The QR scanning will also be largely the same.  The digital membership cards will have the most up to date member information as well as three additional data fields - namely membership level, membership status and membership expiry.


The membership status will inform users whether the membership is “inactive”, if the member has missed any monthly payments or failed to renew their membership.  It will also show the date it became inactive.  In this regard, you may apply the 14 day grace period policy as normal - allowing people to race up to 14 days after their account becomes inactive.


For more technical information in relation to the QR code specification please refer to the separate FAQ. However please note that the order of information has been amended to improve integration.  This may create some teething issues given the QR variations already in existence on old plastic cards - noting any new plastic cards will be in the same order as the new digital membership cards.    


The digital card capability is an important development. Provision of up-to-date information is an obvious benefit, but this also positions Race Organisers (and entry systems) for future improvements such as attendance confirmation and on-the-day entries.
